Selinsgrove AYSO Game Cancellation Procedure

This procedure should be followed when you or the opposing coach must cancel your game due to weather, scheduling conflicts or other unforeseen circumstances. This procedure only covers the steps necessary to cancel a game and ensure all parties involved are notified. The procedure you follow to reschedule a game depends on where your original game was to be played. The guidance below will help you determine the correct procedure to follow.

During times of severe weather the Regional Commissioner (RC) will consult with regional board members as well as RC’s of neighboring communities and collectively we will make the call as to whether we play or cancel all home games. You will be contacted via email no later than 8:00 AM Saturday if all home games are cancelled. This generally only happens during severe weather events. For all other scenarios you should follow the guidance below.

Also, we ask that you make every attempt to play your games as scheduled. Cancelling the night before because you “think” the weather will be bad is a poor excuse to cancel. It is far more work to try and reschedule the game with no guarantee that you will even be able to. It is better to play through a little weather than cheat the kids out of a game.

 

HOME GAMES

  1. It is your decision as coach whether or not to cancel your home game. Older divisions (10U+) normally have no trouble playing in light rain or colder conditions but ultimately it is up to you what you'd like to do. Please make your decision at least 45 minutes before your scheduled game so that you have enough time to contact everyone.
  1. If you decide to cancel you MUST DO ALL OF THE FOLLOWING:
  1. Contact your parents. Use your website team portal, phone, text, email, or other means of communication available to you.
  2. Contact the opposing coach.
  3. Contact the referee administrator (if coaching U6 you can skip this step). If coaching 8U+ contact John at [email protected] and also email the region’s inbox at [email protected] as well as our Area Commissioner John Dunton at [email protected] - indicating that you are cancelling your game.
  1. Every effort should be made to reschedule cancelled games. If you want to reschedule on a weeknight try to schedule it during your normal practice slot so that you aren’t inconveniencing other coaches.
  2. If you must reschedule during someone else’s practice slot you MUST notify the coach(es) that are affected and let them know you need to play a makeup game that night. This gives them time to make other arrangements. A coach who shows up to practice and then gets bounced because of a makeup game he/she didn’t know about will not be happy so please be considerate of your fellow coaches.

 

AWAY GAMES

Contact the opposing coach directly and work out the details. Please do not contact regional board members as we have no control over game rescheduling at other regions. For 8U+ if you decide to makeup the game as a home game you should follow step 3 of the home game procedure above to request a makeup game.
